Online Event Code of Conduct

We ask that all attendees and participants in online talks, lectures, and meetings abide by the following code of conduct:

  • Be respectful of all attendees and participants at all times
  • Any inappropriate or offensive language will not be tolerated
  • Do not share any personal details, including mobile numbers, email addresses, or social media accounts
  • Please keep any chat on-topic to avoid distracting other participants. Any messages should always be kind.
  • Do not try to record the lecture/talk/meeting in any way

If you do not abide by this code of conduct, you may be removed from the event and (for under 18s) a parent/guardian or your school may be informed.

Safeguarding for children and vulnerable adults

Your safeguarding and welfare is our top priority. The designated safeguarding lead for the Department is Helena Cotterill (Access & Outreach Manager). This means they are responsible for keeping you safe and well during events. Please email Helena (helena.cotterill@materials.ox.ac.uk) if you have any concerns or for any of the following reasons:

  • You are feeling unhappy
  • You are feeling unsafe
  • You have concerns about another student or adult helper.

Helena will be able to support you and try and get you the help you need.

Privacy Notices

Any personal data you submit to us during registration for outreach events, joining mailing lists, or for any other outreach activity for the department will be stored and held in line with our current data protection legislation. Allocation of places on oversubscribed events

As our events are usually incredibly oversubscribed, we have to carefully decide which schools/students we are able to offer places to. We always wait until the deadline so that we can fully consider every application and, where necessary, aim to prioritise based on groups which are currently under-represented in the physical sciences.

As such, we consider a number of different factors including, in no particular order:

For school group applications, we may prioritise based on a number of the following factors:

  • School type: non-selective state schools prioritised
  • the gender split of students you have indicated you would be bringing in your application form: those aiming to bring more than 50% Female/Non-Binary students prioritised
  • History of applications and acceptances to the University of Oxford: those with fewer applications/acceptances prioritised
  • The % of students eligible for Free School Meals (FSM) at your school: those with higher than the national average prioritised
  • The ethnicity of students at your school: schools with a high % of non-white students prioritised
  • Postcode metrics for your school postcode, including POLAR and IMD: schools with postcodes in POLAR4 and/or IMD quintiles 1 or 2 prioritised

For individual student applications, we may prioritise applicants who meet some of the following criteria:

  • You have been eligible for one or more of free school meals, pupil premium, Education Maintenance Allowance (EMA) and/or 16-19 bursary during secondary school
  • You live in an area with a low rate of progression to higher education, as measured by the POLAR4 or TUNDRA measure
  • You live in an area with a high level of socio-economic deprivation, as determined by the IMD measure
  • You are care-experienced, i.e. you have been in care at some point, for more than three months in total
  • You are a young carer
  • You would be within the first generation of your family to attend university (i.e. your parents and grandparents did not attend university)
  • You identify as having a protected characteristic which is one of the most under-represented at Oxford Materials, e.g. you are female, non-binary, or of Black heritage
